Government IT Installation to 15,000 Desktops

The Challenge

QualTech, INC. was asked to assist a small IT firm with supporting the client with the deployment of desktops, printers and enterprise servers on a national and international basis.

Project Scope

A small IT firm was responsible for a multi-million dollar, multi-year government contract that provided for the shipment and deployment of end user desktops, printers and enterprise servers to customer offices nationwide as well as overseas.  Not only would the client be responsible for deploying various hardware but they were also required to provide an asset inventory for each customer location where the product was deployed as well as “clean” all hard disk drives on end user desktops that would not be reutilized within the end customer’s office.

Project Details

The IT firm needed to deploy over 15,000 units within the first year of the contract and to it in such a manner that the deployment would not disturb the government customer’s work force. In order to keep down the cost the partner realized that it would not be possible to fly deployment teams from one customer location to another in order to accomplish all the product deployment.  However, it was necessary to have repeatable processes so that each customer site would be deployed the same as the last and all the work that was to be accomplished would be done with the least amount of disruption to the end user in the quickest time possible.  All assigned work would need to be accomplished after hours or on weekends as the government customer not only required that the work not disrupt the local workforce but that all debris needed to be removed and disposed in an environmentally friendly manner.

The Response

QualTech, developed a deployment solution which combined its project management processes and included the use of a remote site survey and constant communication with the customer and the government organization being supported.  With its distributed work force, its strong Program Management Team and its group ware QualTech was able to provide the most qualified technicians at each location without the need to fly a “Tiger Team” between locations to insure consistency of each deployment.  Prior to beginning the deployment project QualTech met with its customer and the government adapting a project plan to meet the customers requirements and utilizing a pilot location to validate all processes were in place and a solid risk mitigation/recovery plan could be implemented on a moments notice should the need arise.

The Result

The Client and the government organization are completely satisfied and extremely pleased with the results of the QualTech deployments undertaken to-date.  The use of a distributed workforce, the QualTech Project Management approach, its use of group ware and its experience has reduced the risk in product deployments.  The QualTech structured processes, its Single Point of Accountability Project Management technique and the use of just-in-time deployment team members has provided for a consistent level of performance while reducing the cost normally required in deploying desktops and enterprise server to multiple locations.
